Privacy Policy

BenchOS (“BenchOS,” “we,” “us,” or “our”) provides an AI coaching platform for basketball programs. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to our website at benchos.coach, our applications, and related services (collectively, the “Service”).
1. Information We Collect
Information you give us
- Account information: name, email address, and credentials when you sign up.
- Program & coaching information: team and roster details, coaching philosophy, schedule, scouting notes, drills, plays, practice plans, game briefs, and player development plans you create or upload.
- Player information: the names, attributes, and development notes you choose to enter about players on your roster. You are responsible for the lawful collection of this information and for any required consents.
- Communications: messages you send us through contact forms, email, or in-app chat, including transcripts of conversations with our AI agents.
- Payment information: if you subscribe to a paid plan, our payment processor collects payment details on our behalf. We do not store full card numbers on our servers.
Information collected automatically
- Usage data: pages viewed, features used, generations requested, and timestamps.
- Device & log data: IP address, browser type, operating system, referring URLs, and similar technical information.
- Cookies & analytics:we use first- and third-party cookies and similar technologies to operate the Service, remember your session, and understand usage. See “ Analytics & Cookies” below.
2. How We Use Information
- To provide, secure, and operate the Service for you.
- To generate AI Outputs (practice plans, game briefs, player development plans, weekly reports, chat responses, etc.) based on your prompts and program context.
- To personalize your experience and improve product quality, reliability, and performance.
- To communicate with you about the Service, respond to support requests, and (where you've opted in) send product news.
- To detect, prevent, and address fraud, abuse, security incidents, and policy violations.
- To comply with legal obligations and enforce our Terms.
We do not sell your personal information, and we do not use your Customer Content to train general-purpose foundation models for ourselves or third parties.
3. AI Processing & Service Providers
To deliver AI features, we send the prompts and context you provide (which may include Customer Content) to third-party AI providers. These providers process the data solely to return a response to your request, under contractual obligations that prohibit using your data to train their models.
We also rely on third-party service providers for infrastructure and tooling, including hosting and edge delivery, authentication and database, AI model inference, observability and error monitoring, and product analytics. These service providers act on our instructions under data-processing agreements that require them to protect your information and use it only to provide services to us.
4. Sharing of Information
We share information only as described in this Policy:
- With your team: if you invite or are invited to a program, members of that program may see Customer Content associated with it.
- With service providers: the third-party providers described above, acting on our instructions.
- For legal reasons: when we believe in good faith that disclosure is necessary to comply with applicable law, legal process, or enforceable governmental requests, or to protect the rights, property, or safety of BenchOS, our users, or others.
- In a business transfer: if BenchOS is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you and give you a reasonable opportunity to object where required by law.
5. Data Retention
We retain Customer Content and account information for as long as your account is active or as needed to provide the Service. Most program records use soft deletes — when you remove a player, practice plan, or other record from the app, we mark it inactive rather than immediately purging it, so that you can recover it if needed.
You may request deletion of your account and associated data at any time by emailing sam@benchos.coach. We will honor verified deletion requests within 30 days, subject to limited exceptions for backups, legal obligations, and abuse prevention.
6. Security
We use industry-standard administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and managed cloud infrastructure. No system is perfectly secure, and we cannot guarantee absolute security. Notify us immediately at sam@benchos.coach if you believe your account has been compromised.
7. Children's Privacy
The Service is intended for coaches and program staff. To create an account, you must either be at least 18 years old or have the consent of a parent or legal guardian. Coaches may enter limited information about players (such as name, position, and development notes) as part of running their program. You are responsible for obtaining any consents required by your school, league, or applicable law before submitting information about other people, including minors. We do not knowingly collect information directly from children.
8. Your Rights & Choices
Depending on where you live, you may have rights to access, correct, delete, port, or restrict the processing of your personal information, and to object to certain uses. To exercise these rights, email sam@benchos.coach from the email address associated with your account. We will respond consistent with applicable law.
You can opt out of marketing emails at any time by following the unsubscribe link in those messages. Transactional emails about your account or the Service will continue.
9. Analytics & Cookies
We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. Our analytics providers collect usage and device data to help us improve the product. You can control cookies through your browser settings; disabling them may affect parts of the Service.
10. International Users
BenchOS is operated from the United States. If you access the Service from outside the U.S., your information will be processed in the U.S. and other countries where we or our subprocessors operate. By using the Service, you consent to this transfer.
11. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you (for example, by email or in-product notice) before the changes take effect. The “Last updated” date at the top reflects the most recent revision.
