Billing & Plans
Plans, what seats cost, and how to read Settings → Billing.
Everything about your program's plan lives at Settings → Billing (/settings/billing). It shows what plan you're on, what you're paying for, and what happens next. The page is admin-only — coaches and players don't see billing.
The plans
Free — $0, no card, forever.
Twenty AI generations for the life of the program: 5 practice plans, 5 game pre-briefs, 5 player dev plans, and 5 weekly reports. Everything that isn't AI is unlimited and stays that way — roster, schedule, playbook, plays and drills, and diagrams.
Full Court — $50/month or $300 for the season.
Unlimited AI generation for the whole program, plus the surfaces the free plan doesn't include: staff chat, the daily brief, player dev cards, and rotation suggestions. The head coach (admin) seat is included in the base price.
A season is exactly six monthly payments. Paying by the season means the offseason costs nothing.
How seats work
Seats are billed per person who signs in — never per roster spot.
A player needs a roster record for the coaching staff to do its job; that's what feeds dev plans, rotations, and practice personnel. Roster records are free and unlimited. You're charged only when someone has an account and logs in.
A head coach running BenchOS alone with a full fifteen-player roster and no player logins pays the base price and nothing more.

What an invite costs, before you send it
When you invite someone from Settings → Staff & Permissions, the dialog shows exactly what it does to your bill and when — before you send. Nothing is charged at invite; the change applies when they accept.
Adding and removing people
Adding staff mid-cycle is prorated — you pay for the part of the period you actually use.
Removing staff takes effect at your next renewal rather than issuing a mid-cycle credit. This keeps the rule simple in both directions: anything that increases what you pay happens right away, anything that decreases it happens at renewal.
Changing your plan
From Settings → Billing you can:
- Switch from monthly to season billing at any time
- Update your card, billing address, and email, and download past invoices
- Cancel — you keep full access through the period you've already paid for
If a payment fails
Your program keeps full access for 14 days while you sort it out. A banner tells you the date access actually changes, and it's the same date the app enforces — the two never disagree.
If the payment isn't recovered, the program moves to the free plan. Nothing your staff has generated is ever deleted or locked. Practice plans, game briefs, dev plans, reports, playbook, diagrams, and roster all stay exactly where they are and stay readable. Only new AI generation stops.
Comped programs
Some programs — pilots and partners — are on complimentary access. Settings → Billing shows this as comped access with the date it runs through, and you'll see a reminder in the app before it expires. Comped programs have unlimited generation and no card on file.
Paying by purchase order
Athletic departments that buy through procurement can be invoiced against a PO and pay by check or ACH instead of a card. Email support@benchos.coach with your program details and we'll send a quote.
